1. Policy statement and scope

Visions Design Limited is committed to reducing the environmental impact of how we run our business and deliver digital work for clients. We are a branding, web and UX/UI agency and a Webflow Premium Partner, and we recognise that digital services carry a real carbon cost through travel, energy use, hosting and the suppliers we rely on.

This policy sets out how we manage that impact and how we support clients who share our commitment to positive change. It applies to all Visions Design employees, contractors and freelancers working on our behalf, and to every project we deliver.

It also covers work delivered with our related entity, Perspectiv Labs Limited, where that work is carried out by the Visions Design team.

2. Our commitments

Visions Design commits to:

  1. Operate as a fully remote business, avoiding the energy use and commuting emissions of a permanent office.
  2. Minimise business travel by holding client meetings, workshops and reviews online by default.
  3. Prioritise hosting and digital suppliers with credible renewable energy or carbon reduction commitments.
  4. Design and build websites that are lightweight and efficient, reducing the energy needed to load and run them.
  5. Consider environmental and social impact when choosing suppliers, equipment and services.
  6. Support organisations working to create positive environmental and social change, including certified B Corps.
  7. Comply with all relevant environmental legislation and regulations that apply to our business.
  8. Review our progress every year and set new objectives where we can improve.

3. Remote working and business travel

Visions Design is a fully remote business, so our team does not commute and we do not run a permanent office. This removes daily travel emissions and the heating, lighting and power of shared premises.

Before the pandemic, our team regularly travelled across the UK for client meetings. We now run meetings online by default, including with our clients in the United States, which avoids long-haul flights entirely.

When travel is necessary, we will:

  • Only travel in person where it adds clear value that a video call cannot.
  • Choose rail over car or domestic flights wherever practical.
  • Combine visits to reduce the number of separate journeys.

We encourage team members to reduce energy use at home, for example by switching off equipment when not in use and choosing energy-efficient devices.

4. Digital sustainability and hosting

We host client websites through two providers: Webflow, as a Webflow Premium Partner, and Nimbus, a green hosting provider. Where a project allows a choice of hosting, we recommend the lowest-impact option that meets the client's technical needs.

We recognise that we cannot yet control the energy sources of every supplier we use. We will review the sustainability credentials of our hosting providers each year and favour those with renewable energy or carbon reduction commitments.

In our design and build work, we aim to reduce the energy each website uses by:

  • Compressing and correctly sizing images and video, and using modern formats such as WebP.
  • Keeping code, scripts and third-party integrations to what the site genuinely needs.
  • Designing clear user journeys so visitors find what they need in fewer page loads.
  • Advising clients on removing unused pages, assets and plugins as part of ongoing support.

5. Sustainable procurement

We consider environmental and social impact alongside cost and quality whenever we choose a supplier. This applies to hosting, software, equipment and any contractors we work with.

In practice, we will:

  • Ask key suppliers about their sustainability policies and energy sources when appointing or renewing them.
  • Favour cloud-based software over hardware that needs dedicated power or disposal.
  • Buy energy-efficient equipment, and repair or reuse devices before replacing them.
  • Dispose of old IT equipment through certified WEEE recycling or refurbishment schemes.
  • Keep document sharing and approvals digital, avoiding printing wherever possible.

6. Supporting positive-impact organisations

We offer certified B Corp organisations up to 10% discount on branding/web design as recognition of their commitment to positive change. B Corp certification is a rigorous process that assesses a company's impact on its workers, customers, communities and the environment.

We actively seek to work with organisations that are driving environmental or social improvement, whether through sustainability, innovation or community benefit. Where a client is on its own sustainability journey, we will share practical advice on reducing the impact of its website and digital presence.

This policy is shared with every new team member during onboarding and is available to clients and prospective clients on request.

8. Monitoring, reporting and review

We review this policy at least once a year, or sooner if our operations, suppliers or legal obligations change. Each review checks progress against our commitments and sets objectives for the year ahead.

We will track:

  • The number of in-person client meetings and the travel mode used.
  • The share of client sites hosted with providers that have renewable energy commitments.
  • Supplier responses to our sustainability questions.
  • Equipment recycled or refurbished.

FAQ's

How do I access the backend of my website?

Start by going to your domain name and add /wp-admin at the end, for example, mywebsite.com/wp-admin.

Once there you will see a login screen that will ask you for a username and a password. Please refer back to the email we originally sent when your website went live with your login details.

Enter your login details, click “Log In” and you will then be shown the WordPress dashboard. From there you will have a list of options on your left such as posts, media, pages, and more. From there, you can make all the changes needed to your website. And if you have any further questions, please just get in touch.

I’ve forgotten my website login details. What should I do?

If you’ve forgotten or misplaced your WordPress login details, we can quickly reset them for you. Please click the link here to head to our contact form. Submit a message and we’ll get back to you as soon as we can with fresh logins.

How do I navigate WordPress?

To navigate WordPress start by going to your domain name and add /wp-admin at the end, for example, mywebsite.com/wp-admin and you will then see a login screen.

Enter your login details and click the login button. Once you’ve logged in, you will then be shown the WordPress dashboard.

From there you will see a list of options on the left hand side. Some of these will include posts, media, pages, contact, plugins, and more. each of the sections on the left will relate to sections that will show on the front end of your website.

For example, posts will be where your blogs are stored. By clicking posts on the left hand menu, you’ll be able to see all of the existing blog posts and create new ones. The same will apply for pages, simply click pages from the left hand menu, and you will see all existing pages, and again, be able to add new ones.

If you wish to add any of the details that appear in the footer of your website. These will most likely be found in the option on the left hand menu titled “Theme Settings”. From there you will see your contact details, social media links, and the menu links to the pages that show in the footer.

From there you’ll be able to make any relevant edits. Once you’ve made your edits, make sure to click the blue “Update” button in the right hand corner of your screen to save & publish the changes you’ve made.

I’m not sure my contact forms are reaching me, what should I do?

If you think your contact forms are not working properly, there’s a couple of things you can do to test. Firstly, start by submitting a contact form as if you were a customer. This will be set to send to your email so check your inbox to see if the message came through. If you don’t see the message in your inbox after 10 minutes check your spam folder.

If once you have tried both of those there is no email there, please get in touch and we can run further tests.

How do I check my WooCommerce orders?

To check your WooCommerce orders manually, head to the backend of the website by going to your domain name and add /wp-admin at the end, for example, mywebsite.com/wp-admin and enter the login details supplied.

From there on the left hand side you will see an option called “WooCommerce”, please hover over that and when you see the submenu, select “Orders”. From there he will be shown all of the orders on the website in chronological order with the most recent first.

Once you’ve found the order you wish to view or edit, simply click the customer’s name or the order number, your page will then reload, and you will be shown the specific details of that order.

Do you offer website maintenance?

We do! We offer different maintenance packages in which we help update, fix and maintain your website to ensure it’s always running smoothly.

Why do I need maintenance?

Think of website maintenance the same as Car Insurance or Phone Insurance. If something goes wrong you have a plan in place for them to repair it. It’s the same with website maintenance, depending on your plan we can fix the problem or update your site to keep up with demands.

How can I report any problems?

How much will it cost?

Can you create a website that fits my budget?

It's not a one size fits all with us! We go through an initial factfind to understand functionality and the project gets costed from there on out. It’s mainly down to time, and involvement for members of staff. We would love to hear from you to find out more about your project.
